Information We Collect

We collect information you provide when creating an account or using RunBackhouse:

• Account information: name, email address, phone number, and password when you sign up or invite team members.
• Venue and business data: venue name, location, operating hours, and business configuration entered into the platform.
• Staff and HR data: employee names, roles, contact details, scheduling information, tip records, and payroll data managed through the platform.
• Usage data: pages visited, features used, timestamps, and browser or device information collected automatically when you use the Service.
• Payment information: billing details processed through our payment provider. We do not store full card numbers on our servers.

How We Use Your Information

We use the information we collect to operate, maintain, and improve RunBackhouse. We use it to:

• Create and manage your account and venue workspace.
• Provide scheduling, tip management, payroll preparation, inventory tracking, and team communication features.
• Process subscription payments and send billing communications.
• Send account confirmations, schedule notifications, time-off alerts, and other transactional messages.
• Diagnose technical issues and improve reliability and performance.
• Comply with legal obligations and enforce our Terms of Service.

We do not sell your personal information or use it for third-party advertising.

Third-Party Services

We share certain data with providers that process it on our behalf to deliver the Service:

• Supabase provides database and authentication infrastructure. Account, venue, staff, and platform data are stored in Supabase-managed databases hosted on AWS.
• Stripe processes billing information, card details, and subscription status under its own privacy policy.
• Resend receives email addresses only to deliver transactional messages such as schedule updates and account communications.

These providers are subject to their own privacy policies and data-processing agreements. We do not authorize them to use your data for their own marketing.

Data Retention

We retain data while your account is active or as needed to provide the Service.

• Active account data is retained for the duration of the subscription.
• After cancellation, we retain data for up to 30 days so you may request an export.
• After that window, data is deleted from production systems. Encrypted backups may remain for up to 90 days before being purged.
• Some records may be retained longer when required by law.

Your Rights

Depending on your location, you may have rights to access, correct, delete, export, or object to certain processing of your personal information.

To make a request, email privacy@runbackhouse.com. We may need to verify your identity. We aim to respond within 30 days.

Security

We use technical and organizational safeguards including encryption in transit and at rest, role-based access controls, secure password hashing, and session management.

No method of electronic transmission or storage is completely secure. We cannot guarantee absolute security. To report a compromised account or security issue, email security@runbackhouse.com.
